How to invite team members and assign roles
Send invites by email, pick a role (Owner, PM, Field, Read-only), and revoke access cleanly.
Buildra is built around roles. Every person you invite gets a role that determines what they can see, what they can change, and what they can approve. Getting the roles right up front saves you from a permissions cleanup six months in.
The four roles
- Owner — full access to billing, integrations, and every project. Limit this to the people who actually run the company.
- Project Manager — full access to assigned projects, including budget, financial documents, and team membership. Cannot change company billing.
- Field — read/write on daily logs, photos, voice decisions, and time entries. Read-only on budget and financials.
- Read-only — see assigned projects but cannot edit anything. Useful for clients, lenders, and inspectors.
Sending an invite
- Go to
/settings/teamfor company-wide invites, or/projects/<id>/teamfor project-scoped invites. - Click Invite member.
- Enter the email address (or paste a list of emails, one per line).
- Pick the role from the dropdown.
- Optionally, restrict to specific projects — leave empty for company-wide access.
- Click Send invites.
The invitee gets an email with a one-click link that expires in 7 days. On their first sign-in, they pick a password (or use Google SSO) and land on the project dashboard.
Warning: Owners can promote and demote other Owners. Make sure at least two trusted people hold the Owner role so a single employee leaving never locks you out of your own workspace.
Revoking access cleanly
When someone leaves the company, go to the team page and click Revoke next to their name. This immediately invalidates their session, locks their account, and preserves every action they performed (decisions, photos, daily logs) under their name for audit purposes. You cannot delete a user — only revoke access. This is by design: audit trails do not work if names disappear.
Resending and canceling pending invites
Pending invites show up at the top of the team page with a yellow badge. Click Resend to push a fresh email, or Cancel to invalidate the link before the recipient clicks it.
Role mistakes that cost teams
- Granting Owner to bookkeepers.Owners can see every financial and HR document in the system. If your bookkeeper only needs to manage one project's pay apps, make them a PM on that project.
- Making subs Field-level. Subcontractors are not internal staff. Use the dedicated submittal/RFI routing features instead — they grant project-scoped, document-specific access without a full seat.
